When multiple teams manage incoming emails, itโ€™s important to keep things organized. Instead of giving everyone access to the full inbox, you can segment conversations into tiers. Each team gets its own shared label and only sees the conversations that belong to them.

Why segment your inbox?

  • Keep sensitive conversations visible only to the right people
  • Avoid clutter by showing each team only whatโ€™s relevant
  • Prevent overlaps where multiple teams reply to the same customer

How to set up tiers with shared labels

  1. Create shared labels for each tier

In your Gmelius workspace page, create one shared label per team or tier.

For example:

  • Tier 1
  • Tier 2
  • Tier 3

  1. Invite the right teammates to each label
    Add the members of each team to their specific shared label.
    Team A only joins Tier 1, Team B only joins Tier 2, and so on.
  2. Route conversations to the correct label
    Instead of sharing your whole inbox, choose which conversations belong in which tier.
    You can route them manually by applying the right label in Gmail, or set up automation rules to route based on:
  • Sender or recipient
  • Keywords in the subject or body
  • Specific domains or customers

Once routed, each team will only see the conversations inside their tierโ€™s shared label.
